The Institute for Stem Cell Science and Regenerative Medicine (inStem), Bangalore, an autonomous institute of the Department of Biotechnology, India, is seeking a reliable and task-oriented Executive Assistant to Director. The Executive Assistant will be based at Director’s Office and will be responsible for performing a number of administrative duties.
inStem (https://www.instem.res.in) shares its campus with the NCBS (www.ncbs.res.in), a premier centre for research and teaching in frontier areas of biology and CCAMP (http://www.ccamp.res.in/), created for enabling research and entrepreneurship, which together form the Bangalore Life Science Cluster. It is envisioned that synergistic associations at the biocluster will have a far greater impact on life sciences research than the sum of individual contributions from each member institution.
The Executive Assistant will work within the office and with different sections on the campus as well as campus administrative support services as required, to coordinate activities. Overall, the individual will act as the point of contact for the Director with faculty, staff, students and visitors.
Key duties include:

Coordination of calendar and meetings involving the Director. Schedule meetings, coordinate arrangements for meetings and manage travel itineraries

Coordinate communications, including taking calls, responding to emails and interfacing with other sections on campus

Coordinate institutional visits to inStem by Scientific Visitors and Advisors.

Coordinating visits and engagements with International and National Partners, which include, universities, research institutions, funding agencies, faculty or students.

Generate reports of critical meetings.

Maintain an organized filing system of paper and electronic documents.

Organization of information such as confidential reports, MoUs and other documents.

Managing information flow in a timely and accurate manner.

Uphold a strict level of confidentiality
The posting of Executive Assistant(EA) is liable to be transferred to any other Division of the Institute/Cluster on need basis
Qualification & Experience criteria:
Essential:
-
Basic Bachelors or Master’s Degree
-
Must have worked in GP 4600 (level-7) for 4 years or 4200 (level-6) for 8 years (or equivalent with experience of working in a similar set up.

Prior relevant administrative work experience

Academic training and basic Bachelors or Master’s Degree.

Experience of writing minutes, note-taking etc.

Well-developed time-management skills with multi-tasking abilities

Strong inter-personal and problem-solving skills

The ability to analyse, summarize and communicate information

Initiative, enthusiasm and a flexible approach to work

Strong written communication skills and intermediate office software skills
Desirable:

Bachelor or Master degree in life sciences

Experience working in networked/computerized environment and/or familiarity with a research environment/academic settings

Prior experience in working with senior management.

Experience of working in a multicultural environment

Well developed verbal and written communications skills

Familiarity with online productivity tools
AGE LIMIT: Below 30 Years for Direct Recruitment (Extant relaxations would apply in accordance with the instructions or orders issued by the Government of India) and 56 years for Deputation.
Scale of Pay: PB-2 (Rs. 9300-34800) with Grade Pay of Rs. 4800 (Level 8 of 7th CPC). Gross Pay Rs 68,768/- (inclusive of allowances) at Bangalore.
NATURE OF APPOINTMENT: Direct Recruitment with contract for 2 years/Deputation. The selected candidate would be initially appointed on contract basis for a period of 2 years. Based upon the performance during contract period the incumbent may be considered for absorption subject to his/her outstanding performance.
